- ABA Therapy: Individualized, evidence-based Applied Behaviour Analysis programs designed and supervised by a Board Certified Behaviour Analyst (BCBA), delivered in the child's home environment
- Speech-Language Therapy: Communication assessment and therapy delivered in partnership with a registered Speech-Language Pathologist (SLP)
- Academic Tutoring: Educational support tailored to the child's individual learning needs
3.2 Service Delivery
All therapy services are delivered in the client's home or natural environment within our service area. Services are subject to therapist availability and geographic coverage. We reserve the right to decline or discontinue services where delivery is not clinically or logistically feasible.
3.3 Clinical Supervision
All ABA therapy programs are designed, overseen, and regularly reviewed by a Board Certified Behaviour Analyst (BCBA). Therapy sessions are carried out by trained Registered Behaviour Technicians (RBTs) or senior therapists under BCBA supervision.
4. Intake Process
To begin services, families must complete an intake form and participate in an initial consultation. Submission of an intake form does not guarantee the provision of services. Heartful ABA will contact you following intake submission to discuss your child's needs, availability, and service options.
Services commence only after:
- A completed intake assessment
- Execution of a formal service agreement (where applicable)
- Receipt of consent forms signed by the parent/guardian
- Confirmation of funding or payment arrangements
5. Funding & Fees
5.1 Ontario Autism Program (OAP)
Heartful ABA accepts Ontario Autism Program (OAP) funding. Families accessing OAP funding are responsible for ensuring their child's OAP account is in good standing and for managing their OAP budget and claims through the appropriate government portal.
5.2 Extended Health Benefits
We accept extended health benefits (private insurance) where ABA therapy or speech therapy is a covered benefit. Families are responsible for verifying their coverage with their insurer prior to services commencing.
5.3 Private / Self-Pay
Private pay rates are available upon request. Payment is due as per the agreed schedule outlined in your service agreement. Late payments may result in suspension of services.
5.4 Rate Changes
Heartful ABA reserves the right to update service rates with a minimum of 30 days' written notice to existing clients.
6. Cancellation & Rescheduling Policy
We understand that life with children is unpredictable. Our cancellation policy is as follows:
- 24-hour notice: Cancellations or reschedule requests with at least 24 hours' notice will not be charged.
- Less than 24 hours' notice: Late cancellations (without a valid emergency reason) may be subject to a cancellation fee as outlined in your service agreement.
- No-show: Missed sessions without any notice may be charged at the full session rate.
- Heartful ABA cancellations: In the rare event that we must cancel a session, we will provide as much notice as possible and will not charge for cancelled sessions.
Repeated cancellations may affect scheduling priority or result in a review of the service arrangement.
7. Parent & Guardian Responsibilities
As a parent or legal guardian engaging Heartful ABA services, you agree to:

- Ensure a safe and appropriate home environment for therapy sessions
- Be present or ensure a responsible adult is present during home sessions (unless otherwise agreed in writing)
